Inbound Shipments

**ALL PACKAGES MUST ARRIVE BY APRIL 20, 2022**

ConsultExpo Inc. has been selected as the official Customs Broker for the WPO Conference. They offer round-trip simple and user-friendly customs services compatible with your preferred shipping partner. If you do not have one, ConsultExpo Inc. can also assist in handling your shipping needs.

PLEASE NOTE: If you plan on sending your material via courier such as DHL, UPS or FedEx you may still require their customs clearance services.

Once ConsultExpo has cleared your packages through Customs, they will be held at an off-site warehouse. All packages will be transported to the hotel by our tradeshow partner GES.

It is highly recommended that you use the services provided by ConsultExpo to ensure your packages will be delivered to the hotel in time for the Conference.

Duties & Taxes

Goods intended to giveaway

No Duties or Taxes for any items valued $25CAD or less.

For items valued higher than $25CAD, duties and tax will need to be paid on the amount in excess of $25CAD. (Example: If the item is valued at $100, $75 will be subject to duties and taxes)

The percentage for duties is dependent on what the item is but a safe estimate is 10-15%. Taxes are standard 5%.

A suggestion is to lower the value by using manufacturing cost but must be a realistic evaluation.

Goods for Sale

Items being shipped in for display and shipped back out will not have duties or taxes assessed to goods. As it pertains to customs, it is ok to sell in Canada and ship the goods from the US to the customer in the US.

Items brought in to be sold and distributed in Canada will be subject to the same duties and taxes as described above. If you plan to ship back unsold merchandise, you are still responsible for the full duties and taxes you paid on import - no refund for returning items.

Gift Bag Items

If you are planning on shipping items to be placed in the Event Gift Bags, these packages should be shipped separately from your exhibit table items. This is the only way to guarantee your items will be included in the gift bags. The gift bag packages will be delivered to the hotel on a different day than the packages for the exhibit hall are set to be delivered.

All gift bag items will need to be identified properly in order to be included in the gift bag. Please contact jane@women-presidents.com for further details.

Outbound Shipments

GES and ConsultExpo will be onsite on Friday, May 6th from 12-5PM to assist you with your return shipments at the end of the Conference.

PLEASE NOTE: Packing materials and boxes will not be provided. It is recommended to keep and store your boxes for your return shipments.

Exhibit Table Specifications

Approximate size of exhibitor space: One Table – 10’(w) x 6’(d); Two Tables – 16’(w) x 6’(d)

Items Provided: One 6’ skirted table, two chairs, one wastebasket

Security will not be provided during the Conference. Exhibitors are responsible for securing their exhibit materials at the close of each day.

Storage will not be provided at the Conference. Exhibitors can store items under the exhibit table and/or in your hotel room.

Exhibit Set-up/Break Down

Set Up: Tuesday, May 3rd - 12:00 – 6:00PM. Setup must be completed by 8:00AM on Wednesday, May 4th

Break Down: Friday, May 6th 12:00 – 5:00PM. We please ask that you do not begin to break down your table prior to 12:00PM.

PLEASE NOTE: You can bring extra help to set up and break down your table, but only registered attendees with proper credentials are allowed in the area during the Conference. Be sure to bring your own packing materials for shipments back.

Exhibitor Terms and Conditions

  1. Exhibitor table assignments will be made by WPO. WPO reserves the right to make changes to table assignments as needed. WPO reserves the right to make alterations to exhibitor spaces if deemed necessary in the best interest of the Conference.
  2. Damage to property caused by an Exhibitor will be paid for by that Exhibitor. DO NOT paint, tape, nail, screw, drill, or tack anything to the tables, walls, columns, floors, or ceiling of the building. Any damage caused by the Exhibitor to another Exhibitor's property will also be paid for by the Exhibitor responsible for causing the damage.
  3. All Exhibitors are required to carry insurance. Exhibitors must operate and maintain their designed area so that no injury will result to any person or property. All Exhibitors are strongly urged to obtain full-coverage temporary insurance for their merchandise and displays while in transit and at the Conference.
  4. Each Exhibitor shall indemnify and hold harmless WPO and the Conference location for all liability that might ensure from any cause including accident or injury to invitees, guests, sponsors, exhibitors, their agent, and employees; including loss or damage to personal property.
  5. WPO is not responsible for goods that are stolen or broken at any time or for lost shipments sent for the Conference.
